MATCHSPACE LTD
Company-wide policy including LTA API and World Tennis Number (WTN) integration
Version 1.0 | 21 October 2026 | Policy owner: Matchspace Ltd directors
Matchspace Ltd operates a digital platform for tennis clubs, competition organisers and players. This policy governs safeguarding, privacy, personal data and information security throughout the Matchspace website, mobile applications and supporting systems. It applies to adult and junior players, clubs, administrators, directors, employees, contractors and suppliers acting for Matchspace. Matchspace is committed to protecting users, with particular regard to children under 18.
The directors, Charles Morris and Ian Edwards, retain overall responsibility for this policy, including decisions on safeguarding escalation, access to personal information, and appropriate organisational and technical protection. Clubs retain responsibility for safeguarding their own tennis activities, coaches, events and physical venues. Matchspace is responsible for the safeguards within its digital service and for referring concerns that come to its attention. Reports can be made to hello@matchspace.co, marked “Safeguarding – confidential”, and will be directed to a director. Matchspace will restrict circulation of such reports to persons who need to act on them.
Junior players access Matchspace using their own accounts, and Matchspace provides a separate junior section. Match results for junior and adult players may be displayed on publicly accessible competition pages. Public results display player names and match results only, without personal contact details, account information or other private personal details. Matchspace has no direct adult-to-junior messaging functionality and does not use its platform to arrange unsupervised contact between adults and junior players.
Bullying, grooming, harassment, discriminatory conduct, exploitation and misuse of player information are prohibited. A safeguarding concern may be raised by a player, parent, club or any other person through hello@matchspace.co. Matchspace will record the concern factually, limit access to the record, preserve relevant platform evidence, and take proportionate steps to restrict an account or access where needed to prevent harm. Matchspace will not attempt to investigate allegations of abuse in place of statutory authorities. Immediate danger must be reported to the police on 999. Where appropriate, concerns relating to tennis will be referred to the LTA Safeguarding Team (safeguarding@lta.org.uk) or relevant statutory safeguarding agencies. Information may be shared without consent where lawful and necessary to protect a child.
Suspected unauthorised access, loss of data, inappropriate publication of junior information or other security incidents must be escalated promptly to the directors. Matchspace will contain the incident, establish the facts, record its decisions and notify affected parties and authorities when required. Reportable personal data breaches will be notified to the ICO without undue delay and, where feasible, within 72 hours of awareness. Individuals will be notified where required by the level of risk. Contractual notification obligations to the LTA also apply to incidents affecting LTA data.
Junior players have their own Matchspace accounts within a separate junior area. Match results, including junior results, may be viewed on publicly accessible pages, but public displays contain only player names and match results, not contact details, account information or other private personal details. Matchspace does not provide adult-to-junior direct messaging. These same limits on public display apply to competition results associated with the LTA integration; the integration must not expose junior contact details or other private account information.
An incident involving LTA credentials, player identifiers, match records, WTN information or junior player privacy will be investigated promptly by Matchspace. Matchspace will preserve relevant evidence, restrict compromised access and notify the LTA where required under the agreement. Personal data breaches will be assessed under UK GDPR, including ICO and individual notification where legally required. Safeguarding concerns are referred through the process in the Matchspace-wide policy, including to the LTA Safeguarding Team or statutory agencies where appropriate.
The directors are responsible for maintaining this policy, ensuring relevant personnel understand their duties, and considering safeguarding and privacy implications when features or integrations change. Matchspace will review this policy at least annually and sooner following a significant incident, legal change or material platform change. This policy operates alongside Matchspace's published privacy notice and terms, and the separate LTA Integration Data Protection and Safeguarding Policy.
